From clinic staff: name, email, and a hashed password (we never store your password itself).
From clinics, about their own clients and patients: contact information, pet records, appointment history, billing records, and clinical notes that clinic staff enter. This is the clinic's data, entered and controlled by the clinic — we process it on their behalf, we don't collect it independently.
Automatically: basic server logs (IP address, timestamps) used for security and abuse prevention, including the rate limiting described below.
To run the service: authenticate you, show you your clinic's data, send transactional emails you or your clients would expect (appointment confirmations, vaccine reminders, invoices, login links), and prevent abuse (spam, brute-force login attempts).
We don't sell data, use it for advertising, or use it to train AI models.
VetCrunch uses two session cookies — one for staff logins, one for the client portal — both essential to keeping you logged in. There is no advertising or analytics tracking on this site today.
Running VetCrunch means a few subprocessors handle data as part of delivering the service:
Each has its own security practices; we don't share data with anyone beyond what's needed to run the service.
We keep clinic data as long as the account is active. If a clinic wants their data deleted, they can request it and we'll remove it from active systems (backups age out on their own retention schedule).
Passwords are hashed, sessions use httpOnly cookies, and every clinic's data is isolated at the application layer. No system is perfectly secure — if you believe you've found a vulnerability, please report it responsibly.
You can ask to see, correct, or delete the personal information VetCrunch holds about you. If you're a pet owner whose clinic uses VetCrunch, start with your clinic — they control that data.
We'll update this page if what we actually do with data changes, with a new "last updated" date.
